User Roles & Permissions

Who It’s For: Super Admins

What It Does

Roles and permissions define what each user can see and do inside My Broker Cloud. You can assign users to default roles or create custom role groups based on your company’s specific needs.

Video Walkthrough

Accessing Role Settings:

Option 1:

  • Scroll down the left-hand menu to Roles & Permissions under Settings

Option 2:

  • Use the Search Bar and type “Roles” or “Permissions”

What You’ll See:

  • A list of all existing Role Groups
  • Each role shows:
    • Assigned Users
    • Permission Settings
    • Options to Edit, View Details, Copy, or (for custom roles) Delete

Understanding Permissions:

  • Permissions are grouped logically and aligned with your system’s main menu
  • Each section (e.g., Transactions, Tasks, Reports) shows multiple access levels:
    • Hidden
    • View
    • Create
    • Edit
    • Delete
    • Full Access

These permissions control what actions can be performed within each module.

Managing Roles:

  • Default roles are provided (e.g., Agent, Admin, Broker)
  • You can edit these or copy them to create custom role groups
  • Super Admin permissions cannot be edited or deleted

Key Rules to Know:

  • Users must be assigned to at least one role group
  • You cannot manually adjust permissions per user — only by assigning roles
  • Users can belong to more than one role, and this is often helpful
    • Example: An agent with extra permissions might belong to both “Agent” and “Custom Admin Lite” role groups

FAQs

Q: Can I give a user unique permissions not in any role?

A: No. You must create or assign a custom role. Users cannot have permissions directly assigned to them.

Q: Can a user belong to more than one role?

A: Yes — this is often the best way to manage exceptions or grant limited admin access.

Q: What happens if I delete a role?

A: You can only delete custom roles. Default roles like Super Admin are locked.
